Position Summary
We are seeking an experienced and detail-oriented licensed Community Association Manager (CMCA/AMS) to oversee the daily operations, financial management, vendor coordination, and owner relations for community associations. The ideal candidate will hold an active CMCA/AMS license and possess strong leadership, communication, and organizational skills.
This role serves as the primary liaison between association boards, owners, vendors, developers, and management teams while ensuring compliance with governing documents, state regulations, and company standards.
Required Licenses & Certifications
- Active Community Manager / Common Interest Community Manager (CICM or equivalent) license required
- CMCA (Certified Manager of Community Associations) designation required
- Ability to obtain or maintain any applicable state licensing or registration requirements
- Valid driver’s license and reliable transportation
Essential Duties & Responsibilities
Community Operations
- Manage the day-to-day operations of assigned associations
- Prepare and distribute violation notices and follow-up communications as necessary
- Coordinate and attend board meetings, annual meetings, special meetings, and committee meetings
- Prepare meeting agendas, management reports, and meeting minutes
Financial Management
- Assist with budget preparation and financial planning
- Review monthly financial statements, invoices, reserve reports, and delinquency reports
- Monitor association expenditures and vendor contracts to ensure budget compliance
- Coordinate with accounting teams regarding assessments, collections, and financial reporting
- Assist with reserve studies and capital improvement planning
Vendor & Maintenance Coordination
- Solicit vendor bids and negotiate contracts for maintenance, landscaping, repairs, and capital projects
- Monitor vendor performance and ensure contractual obligations are met
- Coordinate emergency maintenance responses when necessary
- Oversee preventative maintenance schedules and project timelines
Compliance & Governance
- Ensure association compliance with governing documents, state statutes, fair housing regulations, and company policies
- Advise boards regarding procedural requirements and best practices
- Maintain accurate association records and documentation
- Support legal and insurance matters in coordination with attorneys and insurance providers
Owner Relations
- Respond promptly and professionally to owner inquiries and concerns
- Facilitate conflict resolution and maintain positive community relationships
- Communicate community updates, projects, and policy changes to residents
- Promote exceptional customer service and professionalism at all times
Qualifications
Minimum 2–5 years of HOA, condominium, or community association management experience preferred
- Active CMCA/AMS license required
- Strong knowledge of HOA operations, governing documents, budgeting, and vendor management
- Excellent written and verbal communication skills
- Strong organizational, multitasking, and problem-solving abilities
- Proficiency in Microsoft Office Suite, Caliber, FrontSteps software, Monday.com, and more
- Ability to work independently and manage multiple communities simultaneously
- Board meeting attendance required as needed (various times)
Preferred Skills
- Experience managing various communities associations at once
- Knowledge of reserve studies, capital projects, and construction coordination
- Familiarity with Caliber, FrontSteps, or similar HOA management software
- Strong customer service and leadership abilities
- Strong time management skills
- Ability to learn and adapt to company procedures that may change from time to time
- Ability to interpret contracts, bylaws, and financial statements
Physical Requirements
- Ability to travel between communities and office locations from time to time
- Ability to walk properties and inspect common areas
- Ability to lift up to 25 pounds occasionally
