Position Summary
PCAM is seeking an organized, proactive, and customer-focused Portfolio Manager to join our team in Lewes, Delaware. The Portfolio Manager serves as the primary liaison between community association boards, homeowners, vendors, and the management company. This role is responsible for overseeing the daily operations, financial health, and overall success of a portfolio of community associations.
Key Responsibilities
- Serve as the primary point of contact for assigned community associations.
- Build and maintain positive relationships with board members, homeowners, residents, and vendors.
- Coordinate, attend, and facilitate board meetings, annual meetings, and other community events as needed.
- Prepare meeting agendas, management reports, correspondence, and board packets.
- Review and present financial reports, budgets, reserve planning information, and proposals to association boards.
- Oversee community operations, including maintenance projects, repairs, inspections, and vendor performance.
- Manage vendor contracts and obtain competitive bids for services and projects.
- Ensure compliance with governing documents, association policies, and applicable laws.
- Assist boards with enforcement of community rules and regulations in a fair, professional, and consistent manner.
- Monitor homeowner delinquencies, collections processes, and legal matters in coordination with association attorneys.
- Identify opportunities to enhance community appearance, operations, and property values.
- Collaborate with fellow team members to ensure exceptional customer service and operational excellence.
- Stay informed on industry trends, best practices, and legislative changes affecting community associations.
Qualifications
- Minimum of 3 years of community association management, property management, or related experience preferred.
- Strong understanding of budgeting, financial reporting, contract management, and community operations.
- Excellent communication, customer service, and relationship-building skills.
- Ability to manage multiple communities, priorities, and deadlines effectively.
- Strong organizational and problem-solving abilities.
- Proficiency with Microsoft Office Suite and property management software.
- CMCA, AMS, PCAM, or other industry certifications are preferred but not required.
- Valid driver's license and reliable transportation.
