Svitla Systems Inc. is looking for a hybrid, technically sound Email Marketing & HubSpot Specialist for a remote full-time position (40 hours per week) in Ukraine to own the day-to-day execution, automation, and data health of our B2B communication channels. In this role, you will balance proactive outbound cold outreach with high-conversion inbound nurture paths, driving the full lifecycle of demand generation. You will be the hands-on engine managing our email infrastructure, multi-channel sequences, and CRM data quality. Working from strategic direction, you will bring deep HubSpot and email deliverability expertise to independently manage configurations, optimize automated workflows, monitor domain health, and ensure cold prospect signals convert into a clean, trackable pipeline.
REQUIREMENTS
- 2+ years of hands-on experience in email marketing, lead generation, or marketing operations, specifically within the B2B IT services, SaaS, or IT outsourcing sectors.
- Strong experience working with HubSpot, including enterprise-level accounts (Marketing Hub required; Sales or Operations Hub is a major plus), including building complex workflows and custom properties.
- Proven track record of managing cold outreach platforms (Apollo, Lemlist, etc.) and a strong understanding of technical deliverability mechanics, DNS settings, and sender reputation.
- Data-driven analytical mindset with the ability to build cohesive funnel performance reporting (from open rates to meeting show-rates) and interpret metrics for pivots.
- Be comfortable with LLMs and know how to leverage them to scale personalized outreach and automate repetitive tasks without sacrificing message quality ("zero-fluff" copy).
- Exceptional written and oral English, skilled in drafting persuasive, concise, and non-cliché outreach messaging for technical decision-makers.
NICE TO HAVE
- HubSpot Certifications (Marketing Software, Hub Implementation, or Platform Consulting).
- Familiarity with the HubSpot-Salesforce native integration behavior and sync rules.
- Experience working within structured project management systems (Asana, Jira).
RESPONSIBILITIES
- Execute and optimize multi-channel cold outreach sequences (primarily Email, with LinkedIn as a secondary touchpoint) by leveraging intent signals and technographics to transform cold prospects into warm MQLs.
- Build, QA, and optimize automated trigger sequences in HubSpot (webinar follow-ups, content downloads, etc.) to maximize lead-to-meeting conversion rates.
- Build and quality-assure marketing and sales emails across HubSpot and Apollo, managing audience segments, A/B test setups, copy/image rendering, and tracking links (UTMs).
- Own the technical health of our domains. Configure and verify authentication protocols (SPF, DKIM, DMARC alignment), manage active warm-up protocols, and run systematic pre-send audits.
- Continuously monitor domain and IP reputations using tools like Google Postmaster and MXToolbox to maintain exceptional inbox placement and prevent spam folder routing.
- Build, maintain, and troubleshoot workflows in HubSpot using precise enrollment triggers, conditional branching logic, timed delays, internal notifications, and automated property updates.
- Clearly document internal workflow structures and regularly audit existing automations to identify structural gaps, redundancies, or broken logic.
- Lead ongoing cleanup of contacts, companies, and deals within HubSpot and Apollo. It includes identifying and merging duplicate records, isolating test submissions, standardizing custom properties, and minimizing bounce rates.
- Maintain strict compliance with GDPR and CAN-SPAM regulations through rigorous management of opt-out and suppression lists.
- Maintain a working understanding of the HubSpot-Salesforce integration, monitoring field mappings, tracking how data flows between systems, and troubleshooting sync friction.
- Monitor HubSpot and Apollo product updates and flag relevant new features, AI-assisted personalization capabilities, and anti-spam updates to leadership.
