Job Summary
The Enrollment Outreach Coordinator supports Great Hearts Arizona enrollment marketing efforts through the coordination and execution of marketing tactics, community outreach, and lead engagement. This role plays a key part in driving enrollment growth by building relationships with prospective families, supporting academy events and tours, and nurturing prospective family leads both in person and through CRM systems.
Working closely with the VP of Operations and the Marketing Lead this position will assist with campaign implementation, community recruitment efforts, and prospective family engagement throughout the enrollment journey. The Enrollment Outreach Coordinator will serve as a “boots-on-the-ground” representative of Great Hearts, helping families learn about the academies while also supporting marketing operations including event coordination, CRM lead tracking, and promotional content development.
Primary Responsibilities
- Support the Director of Marketing and Communications in executing annual marketing campaigns that support enrollment goals across assigned Arizona academies.
- Serve as a “boots-on-the-ground” representative at community events, partner organizations, and outreach opportunities to increase awareness of Great Hearts academies and drive prospective family engagement.
- Coordinate and execute internal and external events that promote academy awareness and enrollment, including sponsorship coordination, event promotion, volunteer management, and on-site event support.
- Lead academy tours for prospective families and assist with prospective family engagement throughout the enrollment process.
- Engage directly with prospective families to answer questions and guide them through the application process.
- Utilize HubSpot CRM to track, manage, and nurture prospective family leads through email communication, follow-ups, and event invitations.
- Support the development and scheduling of curated social media content to grow academy awareness and engagement across Meta platforms.
- Maintain inventory and directory of marketing collateral for assigned academies and coordinate new material creation as needed.
- Assist with basic marketing design and content needs including flyers, event graphics, social media posts, and promotional materials.
- Report on key performance metrics related to outreach activities, marketing campaigns, and enrollment initiatives.
- Become proficient with internal systems and databases used for enrollment in marketing and communications.
- Track and submit invoices and marketing expenses.
- Perform other duties as assigned including special project support and event planning.
Education
- A bachelor's degree in marketing, communications, business, or a related field preferred.
- Relevant experience in marketing, sales, recruiting, or customer engagement may be substituted for formal education.
Experience
- 2+ years of experience in marketing, recruitment, sales, community outreach, or customer engagement preferred.
- Experience using CRM systems such as HubSpot to track and nurture leads strongly preferred.
- Proficiency with Microsoft Office products including SharePoint, Teams, Word, Excel, Outlook, OneNote and PowerPoint.
- Experience managing or contributing to social media accounts, particularly Facebook and Instagram, including content creation and audience engagement.
- Basic graphic design experience preferred, including familiarity with Adobe InDesign, Canva, or similar design tools.
- Experience planning or supporting marketing events, outreach initiatives, or recruitment activities preferred.
- Fluent conversational Spanish highly preferred.

- It has reliable transportation and is willing to commute between Great Hearts Phoenix Metro academies. (Mileage reimbursement provided.)
