Executive Marketing Assistant (Admin Strong + Attention To Detail)
We are seeking a highly organized and detail-oriented Executive Marketing Assistant to support the administrative side of our marketing operations, sales funnels, paid traffic campaigns, and lead generation systems.
The main goal of this role is to keep marketing projects organized, track campaign activity, manage communication, update systems, and support leadership with day-to-day administrative tasks related to marketing execution. This is not a primary media buying role, but the ideal candidate should understand how sales funnels, paid ads, leads, follow-up, and reporting work together.
Responsibilities
Provide administrative support for marketing campaigns, sales funnels, paid traffic initiatives, and lead generation projects.
Organize campaign assets, ad creatives, landing page links, copy documents, reports, tracking sheets, and marketing calendars.
Help monitor paid traffic campaigns across platforms such as Facebook Ads, Instagram Ads, Google Ads, YouTube, TikTok, and other traffic sources.
Track basic marketing metrics such as leads generated, cost per lead, booked appointments, show rates, conversion rates, and campaign performance.
Update CRMs, spreadsheets, project management tools, dashboards, landing page records, and campaign tracking documents.
Coordinate communication between leadership, media buyers, designers, copywriters, sales teams, virtual assistants, and vendors.
Assist with launching and organizing funnel updates, landing page changes, lead forms, email sequences, SMS follow-up, and automation tasks.
Prepare simple daily or weekly marketing reports for leadership.
Schedule meetings, manage reminders, follow up on assigned tasks, and ensure marketing projects stay on track.
Research competitors, traffic sources, offers, ad examples, landing pages, and marketing trends when needed.
Help organize testing ideas for traffic sources, audiences, creatives, offers, headlines, and funnel improvements.
Support social media scheduling, email campaign coordination, basic copy updates, and content organization as needed.
Maintain accurate records of campaign changes, test results, vendor updates, and marketing tasks.
Qualifications
Experience as an executive assistant, marketing assistant, admin assistant, marketing coordinator, operations assistant, or similar role.
Strong administrative, organizational, and follow-up skills.
Basic understanding of sales funnels, paid traffic, lead generation, and digital marketing.
Comfortable using spreadsheets, CRMs, Google Drive, project management tools, and marketing dashboards.
Experience with tools such as GoHighLevel, HubSpot, ClickFunnels, WordPress, Zapier, Meta Ads Manager, Google Ads, Google Analytics, Asana, Trello, Monday, or similar platforms is a plus.
Ability to organize information clearly and keep multiple projects moving at the same time.
Strong attention to detail and ability to catch errors in links, forms, copy, reports, and campaign assets.
Good written and verbal communication skills.
Comfortable working in a fast-paced environment with shifting priorities.
Basic copywriting, reporting, landing page, email marketing, or automation experience is a plus.
Ideal Candidate
The ideal candidate is organized, reliable, detail-oriented, and proactive. You do not need to be a full media buyer or funnel strategist, but you should be comfortable supporting marketing projects and keeping the admin side running smoothly.
You are someone who can help leadership stay organized, follow up with the team, track campaign progress, update systems, and make sure important marketing details do not fall through the cracks.
Position Summary
As our Executive Marketing Assistant, your main responsibility will be to support the administrative side of our marketing operations while helping keep sales funnels, paid traffic campaigns, reports, and lead generation systems organized and moving forward.
