Marketing and and Administrative Coordinator
Now more than ever, planners and designers are being asked to help communities navigate complex challenges, from climate resilience and housing affordability to mobility, public health, and equitable growth. Mend Collaborative is seeking a Marketing and Administrative Coordinator with an interest in planning, landscape architecture, and urban design to help us communicate this work and grow our impact. This role sits at the intersection of storytelling, strategy, and design communication, helping translate technical planning work into compelling narratives that resonate with potential clients.
Mend is a growing practice focused on public-sector work, with a strong track record pursuing and winning RFPs, RFQs, and competitive solicitations across Texas, Minnesota, Virginia, and select national opportunities. This position will play a key role in shaping pursuits, maintaining a strong and consistent brand voice, and helping position our multidisciplinary team across planning, landscape architecture, urban design, and community engagement projects.

The candidate will also be well organized and be prepared to assist with administrative and office management tasks.

Marketing and Administrative Coordinator Role
The successful candidate will perform the following tasks:
- Marketing Tasks (80% of time)
- Develop RFP and RFQ responses with the assistance of partners and staff
- Manage the company website and social media channels
- Graphic design of print and digital marketing materials for meet and greets, conferences, and project interviews
- Conduct outreach to potential clients or project partners and schedule meet and greets for staff and partners
- Industry research and data gathering for strategic positioning
- Management of brand standards
- Represent Mend at tabling events at conferences and college job fairs
- Admin Tasks (20% of time)
- Help to reconcile financials
- Support new employee onboarding
- Order office supplies
- Book travel
Candidate Experience and Qualifications
- Undergraduate or graduate degree in marketing or a related field
- Candidates from other disciplines will be considered if they have relevant experience in marketing within architecture, planning, engineering, or construction firms
- 0–2 years of professional experience in marketing, communications, or pursuits within an AEC-related firm
- Experience supporting RFQs, RFPs, and competitive pursuit processes preferred
- Understanding of marketing best practices in a professional services or design firm context
- Experience managing social media and other digital tools
Key Skills and Attributes
- Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop required)
- Experience with squarespace and management of social media channels
- Experience or willingness to learn Quickbooks
- Strong visual communication and graphic storytelling skills
- Skills with photography and videography work
- Excellent written and verbal communication skills with the ability to synthesize technical content
- Ability to translate planning, design, and technical content into clear and compelling marketing materials
- Strong organizational skills and ability to manage multiple deadlines in a fast-paced environment
- Interest in planning, landscape architecture, urban design, and ecological design or public realm projects

Compensation: Pay is commensurate with experience and location, and will be negotiated following a successful application and interview.
Office: The successful applicant will work in a hybrid office (2-3 days per week in person in Austin, Texas or Minneapolis, MN). The position may include some travel to project sites for project events and documentation.
