About the role:
As a Marketing Coordinator (internally Marketing Coordinator / Reception), you're at the forefront of the action, delivering exceptional support to our team.
This is a 9-5, Mon to Fri, on-site, full-time position. This is NOT a hybrid role.
We are seeking a detail-oriented and proactive Marketing Coordinator to join our dynamic team. The ideal candidate will play a crucial role in supporting our marketing initiatives and ensuring smooth operations within the department. This position requires strong organizational skills, excellent communication abilities, and a passion for customer service. The Marketing Coordinator will assist in various administrative tasks while contributing to the overall marketing strategy. From project management to marketing support, you're the go-to guru for all things Commercial real estate. You have a passion for proposal & brochure creation and presentation. You're ready to tackle any client-facing challenge, or administration task that comes your way. You will provide expertise and creative input from the inception stage through to final production; liaising with Brokers to ensure initial concepts and ideas are explored and developed. You apply a comprehensive knowledge of writing, marketing and communications, as well as event planning to complete your assignments.
In this role, you will:
- Provide high-level marketing and front desk administrative support to our commercial real estate team.
- Work collaboratively with a great team!
- Develop custom listing proposals, BOVs, property brochures and offering memorandums using InDesign.
- Track all property marketing activity and maintains contact database.
- Research market data to create quarterly newsletter.
- Prioritize workload appropriately to meet competing deadlines and multiple stakeholders.
- Perform reviews of externally focused deliverables for the team ensuring best in class work.
- Manage brokers bios, case studies, market overviews and completed transaction lists.
- Manage existing projects and clients and research/evaluation of assignments.
- Attend group-wide team meetings and company initiatives.
- Draft and deliver written communications that establish immediate credibility for self and team.
- Assist in the development and execution of marketing campaigns and strategies.
- Conduct data entry and maintain accurate records of marketing activities.
- Manage filing systems and ensure all documentation is organized and easily accessible.
- Provide admin support, including general office admin duties, assist with new business presentations and pitches, and preparing reports.
- Handle customer inquiries and provide exceptional friendly and professional customer support via phone and email.
- Operate multi-line phone systems with professionalism and effective phone etiquette.
- Collaborate with team members to coordinate events, promotions, and other marketing activities.
- Manage the daily social media program and develop ongoing content for Colliers’ Facebook, Meta Ads, Instagram, and YouTube platforms.
- Ensure brand standards are adhered to across all London marketing activities.
- Build equity in the Colliers brand and drive brand initiatives for London.
- Measure results and tracking, reporting ongoing engagement.

- Identify and assist with local press opportunities and manage media relations when needed.
- Coordinate posting and distribution of media coverage internally.
- Utilize Microsoft 365, Adobe, Google and internal resources for document creation, data management, and communication.
- Assist with office admin duties when required.
Experience
- 2-3 years of Marketing support within the Commercial Real Estate industry.
- Excellent organizational and prioritization skills.
- Degree and/or certificate in Marketing or Communications and/or related experience.
- Strong verbal & written communication skills in English.
- Attention to detail while juggling multiple projects & meeting critical timelines.
- Superior customer service & interpersonal skills, including the ability to relate effectively with people at all levels of the company, both internally & externally.
- Ability to quickly understand briefs and come up with concepts for refinement.
- Experience with market research and data entry.
- Works well independently as well as in a team, takes initiative and pushes conventional thinking.
- Previous real estate office experience is beneficial; familiarity in a commercial real estate environment is a plus.
- Proficiency in Creative Cloud, specifically InDesign, Photoshop, Microsoft 365 (Word, Excel, PowerPoint), Google, and social media applications like Facebook, Meta Ads, Instagram.
- Strong computer skills with the ability to navigate various software programs efficiently.
- Excellent organizational skills with attention to detail to ensure accuracy in all tasks.
- Demonstrated customer service experience with the ability to handle inquiries and follow-up professionally.
- Strong leadership skills and ability to coordinate scope of team activities and projects.
- Previous experience as a marketing coordinator / receptionist or in a similar role is highly desirable.
- Any experience in photography / drone videos will be favourably considered.

Salary Range for this Role: $48,000/year - $50,000/year
Our salary ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all Canada locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
