Opportunity
MacEwan University is seeking a Marketing Project Coordinator for a full-time continuing opportunity with the Office of Communications, Marketing and Web Services. Reporting to the Director, Marketing and Brand, you will support marketing and communications operations and project execution for a diverse internal client base.
In this key role, you will use project management software (Asana) to track multiple projects, coordinating workflows, timelines, and approvals to ensure deliverables meet quality and brand standards. As a central point of coordination, you will help connect teams and keep work moving forward – monitoring progress, identifying risks, and supporting the delivery of high-quality results on time.
Key responsibilities include:
- Tracking multiple, concurrent Marketing Communications Partner projects across build/production, review/approval, and delivery phases;
- Serving as a central point of coordination between marketing, communications, and web services for assigned projects, ensuring smooth communication and workflow;
- Setting up and maintaining project timelines, milestones, dependencies, workback schedules, task assignments and recommending workflow improvements;
- Monitoring project progress and identifying gaps, bottlenecks, or risks, and escalating issues when necessary;
- Ensuring all stakeholders are informed of project status, changes, and upcoming deliverables;
- Coordinating feedback, revisions, and approvals across internal teams and clients/stakeholders, consolidating input and clarifying guidance for the production team;
- Conducting quality assurance checks, including proofreading major print and digital deliverables;
- Independently executing smaller project requests, including providing approved assets, files, and information directly to clients;
- Producing operational reports by summarizing project status and other valuable data through Asana;
- Applying established templates, processes, and best practices to execute project tasks efficiently and consistently;
- Sourcing quotes and overseeing print and merchandise ordering, scheduling, production, and delivery to ensure materials meet quality and brand standards;
- Supporting OCMWS-led events and helping coordinate marketing requirements for partnerships, sponsorships and co-led initiatives;
- Handling project-level financial activities including purchase orders, invoice processing, expense tracking, and maintaining accurate budget, coding and vendor spend records;
- Maintaining up-to-date records of approved marketing suppliers; and
- Developing and maintaining clear, user-friendly documentation for internal and client-facing processes as required.
Skills
You will have:
- Proficiency with project management tools (Asana preferred) and familiarity with project management methodologies such as Agile and Waterfall;
- Strong project coordination skills, with the ability to manage multiple concurrent projects from planning through execution and completion;
- The ability to take ownership of work and keep deliverables progressing across multiple stakeholders through active coordination and follow-up;
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse internal and external stakeholders;
- Strong organizational and time management skills, with the ability to prioritize competing demands in a fast-paced environment;
- Professionalism, accountability, and adaptability in managing changing priorities and delivering results;
- The ability to work independently, exercise sound judgment, and proactively identify and resolve issues;
- Strong writing and proofreading skills, with attention to detail and adherence to editorial and brand standards;
- Familiarity with marketing communications, including print and digital production processes, file formats, and asset specifications; and
- Proficiency with Microsoft Office Suite and Google applications.
Qualifications
- A minimum of a diploma in business, project management, marketing, communications or related discipline.
- A minimum of 2 years of related experience in project management or marketing, advertising, or communications.
- Experience with marketing and communications functions, including design, advertising, media relations, and content development.
- An equivalent combination of education and experience may be considered.
