The Med Spa Coordinator & Marketing Assistant serves as the face of the practice while supporting daily operations, patient communication, provider administration, marketing initiatives, and inventory management. This role combines exceptional customer service with strong organizational and marketing skills to help create a seamless client experience and support business growth.
The ideal candidate is highly organized, detail-oriented, comfortable multitasking, and passionate about aesthetics, wellness, and patient care.
ResponsibilitiesFront Desk & Client Experience
- Greet and check in clients with professionalism and warmth
- Answer incoming phone calls, texts, emails, and online inquiries
- Schedule, reschedule, and confirm appointments
- Manage provider schedules and appointment flow
- Process payments and maintain accurate client accounts
- Review and complete client intake forms and consent documentation
- Assist with membership enrollment and package sales
- Maintain a clean, welcoming reception area
- Deliver exceptional customer service and client follow-up
Administrative & Provider Support
- Update and maintain electronic medical records (EMR)
- Assist providers with documentation and chart preparation
- Coordinate and call in approved laboratory orders
- Assist with prescription requests and pharmacy coordination under provider direction
- Review client files for completeness and accuracy
- Upload lab results and maintain confidential medical records
- Support compliance with HIPAA and office policies
Marketing & Business Development
- Assist with social media content creation and scheduling
- Capture photos and videos of treatments, events, and practice activities
- Create Instagram Stories, Reels, and promotional content
- Send email marketing campaigns and text message promotions
- Help execute monthly specials, events, and membership campaigns
- Monitor online reviews and assist with reputation management
- Maintain marketing calendars and promotional materials
Inventory & Clinic Operations
- Monitor inventory levels and supply usage
- Maintain inventory tracking systems
- Stock treatment rooms and clinical areas
- Receive and organize incoming shipments
- Conduct routine inventory counts
- Alert management when supplies require reordering
- Ensure treatment rooms remain organized and fully stocked
Sales & Growth Support
- Educate clients on memberships, services, packages, and promotions
- Assist with treatment plan follow-up and retention efforts
- Help achieve monthly revenue and membership goals
- Track lead inquiries and client conversions
- Support event planning and promotional initiatives
Qualifications
- 1+ year of customer service, hospitality, medical office, or med spa experience preferred
- Strong communication and interpersonal skills
- Social media experience preferred (Instagram, Facebook, TikTok)
- Comfortable learning EMR and scheduling software
- Excellent organizational and multitasking abilities
- Professional appearance and demeanor
- Ability to maintain confidentiality and HIPAA compliance
- Sales experience preferred but not required
- Passion for aesthetics, wellness, and patient care
Preferred Skills
- Experience in a med spa, dermatology, plastic surgery, or wellness practice
- Canva experience
- Email marketing experience
- Photography and videography for social media
- Inventory management experience
- Knowledge of aesthetic treatments and products
