Sales and Marketing Coordinator
I. Position Overview
The Sales & Marketing Coordinator provides comprehensive administrative, marketing, and sales support to ensure smooth daily operations of the sales team. The role assists in lead generation, marketing execution, documentation coordination, customer nurturing, and after-sales processes. This position helps maximize productivity, improve customer experience, and strengthen the company’s brand presence.
II. Key ResponsibilitiesA. Sales Coordination
- Assist the sales team in managing inquiries, client follow-ups, and lead nurturing.
- Maintain updated records of leads, clients, LOIs, offers, and sales pipelines.
- Coordinate client trippings, schedules, and site visits.
- Monitor ongoing sales transactions and ensure timely completion of requirements.
- Prepare sales kits, proposals, presentations, and other materials needed by agents.
- Generate daily, weekly, and monthly sales reports.
B. Marketing Support
- Implement and monitor social media marketing (Facebook runs, boosting, postings).
- Assist in creating marketing content, captions, property write-ups, and media materials.
- Coordinate with external partners for marketing collaterals, ads, and events.
- Help track marketing performance and client engagement metrics.
C. Administrative & Documentation Support
- Assist in collecting, organizing, and verifying sales documentation.
- Coordinate with LGUs, developers, brokers, and clients for required documents.
- Track and troubleshoot document issues such as:
- Property tax declarations
- Association dues
- Transfer concerns
- Legal and admin documentation
- Maintain updated filing and digital archives of sales and marketing documents.
D. Agent Support & Team Communication
- Manage daily greetings and nurturing messages for agents.
- Gather agent needs and concerns; endorse to Operations Manager for action.
- Coordinate agent schedules, meetings, and training sessions.
- Help facilitate onboarding of new agents.
E. Property Monitoring
- Assist in monitoring company properties for sale or lease.
- Help coordinate concerns on:
- Rental collections
- Landlocked properties
- Illegal settlers
- Property updates from ground personnel
- Prepare summaries and updates for the Operations Manager.
F. Meetings & Reporting
- Assist in preparing agendas, reports, and AI-generated minutes of meetings.
- Summarize sales performance and marketing activities for management review.
G. Travel & Logistics Assistance
- Assist the Operations Manager with flight bookings, itineraries, and travel requirements.
- Process Cash Advances (CA) and liquidation of expenses related to sales or travel activities.
H. Other Administrative Tasks
- Maintain calendars, schedules, and communication channels for the sales team.
- Support company events, client activities, and marketing initiatives.
- Perform tasks that may be assigned from time to time by the Operations Manager.
III. Qualifications
- Bachelor’s degree in Marketing, Business Administration, or related field.
- Experience in real estate, sales coordination, or marketing is an advantage.
- Strong communication and interpersonal skills.
- Proficient in MS Office, Google Workspace, and social media marketing tools.
- Highly organized, detail-oriented, and able to handle multiple tasks.
- Can work independently and in a fast-paced environment.
- Professional demeanor and customer-oriented attitude.
